1.Information We Collect

When you register, verify your business or use the Platform, we may collect:

• account details, such as your email address, telephone number and password;
• business details, such as legal business name, registered and operating addresses, country of incorporation, registration number and tax/VAT/GST information;
• information about beneficial owners, directors, authorized representatives and contact persons;
• identification documents, certificates, import/export licences or registrations and other regulatory documents;
• banking or payment information;
• product requirements and business references; and
• other information reasonably required to approve your account or a transaction.

We also keep information generated through your use of the Platform, including RFQs, quotations, orders, invoices, statements, payment records, shipping and tracking information, communications, uploaded documents, transaction history and Platform activity logs.

2.How We Use Your Information

We use information as necessary to:

• create and administer accounts;
• verify identities and businesses and conduct due diligence, including commercial, identity, credit, sanctions, fraud, regulatory and ownership checks;
• process RFQs, prepare quotations and process orders;
• arrange shipments and provide shipment tracking;
• process payments, issue invoices and provide statements;
• provide customer support and manage disputes;
• prevent fraud and maintain the security of the Platform;
• comply with legal, tax, accounting and audit obligations;
• maintain business records;
• improve the Platform and conduct analytics;
• communicate with you about your account and transactions; and
• provide other services you request.

3.Sharing With Service Providers and Partners

To operate the Platform and complete transactions, information may be shared with or processed by third parties acting for Vicago or involved in a transaction, including:

• cloud hosting and infrastructure providers;
• payment providers and banks;
• shipping lines, carriers, freight forwarders and customs brokers;
• inspection companies, laboratories and insurance providers;
• accounting, analytics, security and communication providers; and
• other service providers that help us deliver the Platform.

We may also disclose information where required by law, or where reasonably necessary for compliance, sanctions screening, fraud prevention or to protect the Platform, our users or Vicago's legitimate interests.

Vicago is not responsible for the independent acts, omissions, availability or security practices of third-party service providers except to the extent required by law.

4.Where Your Information Is Stored

Information may be stored or processed in Canada or in other jurisdictions where Vicago or its service providers operate. Where information is processed outside your country, it may be subject to the laws of that jurisdiction.

5.How We Protect Your Information

Vicago takes commercially reasonable measures to protect information under its control. However, no electronic system can be guaranteed to be completely secure.

You are responsible for keeping your password, authentication credentials and access codes confidential, and must notify us immediately if you suspect unauthorized access to your account. We may require password resets, additional authentication or other security measures at any time.

6.How Long We Keep Information

We keep account and transaction information for as long as your account is active and afterwards where reasonably required for:

• legal compliance;
• tax and accounting;
• audit;
• fraud prevention;
• dispute resolution;
• contractual obligations; or
• other legitimate business purposes.

We may also keep electronic records of registration, account activity, quotations, orders, acceptances, communications, payments, shipping and documents to establish the history and terms of a transaction, subject to applicable law.

7.Communications

We send transactional communications about account registration and verification, RFQs, quotations, orders, invoices, payments, shipments, documents, security and account administration. These are part of providing the Platform.

Marketing communications are handled in accordance with applicable law. Where consent is required for commercial electronic messages, we use appropriate consent and unsubscribe mechanisms.

By using the Platform you agree that notices, quotations, order confirmations, agreements, invoices and other documents may be provided electronically.

8.Your Choices and Rights

You must keep your account information accurate, complete and current, and you can update much of it from your profile. You may contact us to ask about, or request correction of, personal information we hold about you.

You may request closure of your account. Closure does not cancel outstanding transactions, payment obligations, claims, disputes or other obligations that arose before closure, and we may keep information as described in section 6.

Depending on your location, you may have additional rights under Canadian federal or provincial privacy legislation or, where applicable, foreign privacy legislation.

9.Changes to This Policy

We may update this Privacy Policy from time to time and will post the updated version on the Platform. Where required by applicable law, we will provide appropriate notice of material changes.
